The challenge

Contracts, invoices and usage, all apart.

PRODEMGE serves many state agencies, each with its own contracts and invoices. Clients needed one place to check what they owe, what they use and what is about to expire.

Scattered information

Invoice status, contract terms and consumption lived in different places, so a simple question took several steps.

Deadlines easy to miss

Contracts close, get blocked or near their end date. Clients needed to see that early, not after the fact.

Many contracts per client

An agency can hold many contracts at once. Finding the right one in a long list had to be quick.

The process

Start from the questions clients ask.

  1. Map the client’s questions

What do I owe, what is about to expire, how much of my contract have I used. Each became a block on the home.

  2. Design the dashboard

Indicator cards for invoices and contracts, plus a consumption bar showing how much of the contracted value is used.

  3. Detail every contract state

Active, closed, blocked and expiring contracts each got their own detail page, alert and history.

  4. Build a shared kit

Header, footer, cards, badges, inputs and e-mail templates were set up as components for the ServiceNow build.

The solution

One dashboard for every contract.

After login, clients land on a control panel with invoice and contract indicators and total consumption. From there they open any contract and see its status and history.

The outcome

Clear numbers in one place.

Status at a glance

Pending pre-invoices, overdue amounts and contracts expiring in the next 90 days sit on the first screen.

Usage made visible

A single bar shows how much of the total contracted value each client has already consumed.

Ready to build

Screens and components were organized so the ServiceNow team could build the portal from a shared kit.
